Completed Activities Count on Opportunities

Completed Activities Count on Opportunities

Summary

Opportunities now have a Completed Activities field that counts every activity marked as done. It stops counting once the opportunity is Won, so the CRM pivot report can show the average number of activities it takes to win an account.

How it counts

The count goes up by 1 each time an activity on the opportunity is marked as done, however it is completed:

  • Done or Done & Schedule Next from the chatter
  • Mark as Done or Done & Schedule Next in the Schedule Activity window
  • Setting an activity's Status to Completed

Cancelled or deleted activities are not counted. Once an opportunity is moved to Won, the count freezes. If it is moved back out of Won, counting resumes from where it left off.

Where to find it

  • Opportunity form: directly below Expected Closing.
  • Opportunity list view: available as an optional column. Click the sliders icon at the right end of the column headers and tick Completed Activities.

How to report on it

The report shows an average automatically, so no calculation is needed.

  1. Go to CRM > Reporting > Pipeline.
  2. Filter on Won.
  3. Switch to the pivot view.
  4. Under Measures, select Completed Activities.
  5. Group rows by Salesperson, Sales Team, or Source to compare.
  6. Group by Closed Date (by month or quarter) to see the trend for deals won in each period.

Historical data

Existing opportunities will be filled in from their chatter history at deployment, so the report is useful from day one. For won opportunities, only activities completed on or before the win date are counted.

One caveat: activities imported from Salesforce may not have left a completion record in the chatter. If so, older opportunities could show lower counts than they really had. We will check this on UAT before running the historical fill and follow up if it affects the numbers.

Good to know

After completing an activity, the number on the opportunity form updates once the page is refreshed. The saved value is always current, so reports are never affected.
