New CRM Feature: Milestone Dates - Quick Testing Guide

What's New

We've added six new date fields to every Opportunity that automatically record the first time it reached a key stage - Qualified, Appointment Set, Pitched, Won, Lost, and Disqualified.

Why it matters: Right now, if an opportunity moves from Pitched to Won, it disappears from any "Pitched" report - even though it really was pitched at some point. These new fields solve that. They're permanent - once set, they don't change, so leadership can accurately report on things like "how many opportunities were pitched in July," no matter where those opportunities ended up later.

Where to Find Them

  1. Log into staging.menmd.com
  2. Head to the CRM module
  3. Open any Opportunity.
  4. Look for a new tab called "Milestone Dates" on the form.
  5. You'll see six fields, grouped as:
    • Pipeline Progress: Date Qualified, Date Appointment Set, Date Pitched
    • Outcome: Date Won, Date Lost, Date Disqualified

Important: These Fields Are Read-Only For You

This is expected, not a bug. These dates are set automatically by the system - nobody manually types them in. If you click into one and it won't let you edit it, that's exactly how it's supposed to work. If you think a date is wrong, don't try to force an edit - flag it to your manager instead (see "If Something Looks Wrong" below).

How to Test It

Pick an opportunity you're actively working (or create a test one if you'd rather not use a real record), and walk it through its normal stages one at a time. After each stage change, open the Milestone Dates tab and check:

You do this... You should see this...
Move the opportunity to Qualified "Date Qualified" fills in with today's date/time
Move it to Appointment Set "Date Appointment Set" fills in; "Date Qualified" stays exactly the same as before
Move it to Pitched "Date Pitched" fills in; the earlier two fields stay the same
Move it to Won "Date Won" fills in; everything else stays the same

The most important thing to check: move the opportunity backward a stage (say, from Pitched back to Appointment Set), then move it forward again to Pitched. The "Date Pitched" field should not change - it should still show the very first time it was pitched, not the second time. This is the whole point of the feature, so it's the one thing really worth double-checking.

Testing Lost or Disqualified

If you have an opportunity you're comfortable marking Lost or Disqualified (or a test record), try it both ways if you can:

  • Drag the card directly into the "Lost" or "Disqualified" column

Either way, the matching date field ("Date Lost" or "Date Disqualified") should populate.

What You Do NOT Need to Test

  • You don't need to check reporting, dashboards, or exports - that's being handled separately.
  • You don't need to worry about fixing a wrong date yourself - that's an admin-only task.
  • You don't need to test every single opportunity in your pipeline - one or two test walk-throughs is plenty.

If Something Looks Wrong

If a date doesn't populate when you expect it to, populates with the wrong date/time, or changes when it shouldn't (especially after moving backward and forward through a stage), please note:

  • Which opportunity (name or number)
  • What stage you moved it to/from, and when
  • What you expected to see vs. what you actually saw

... and send that to Charlie. That level of detail makes it much faster to track down what happened.
